Organizational Guidelines

 

The following guidelines define the composition of the Eberly College of Science Staff Advisory Committee, service terms of the Committee members, and the responsibilities of the Committee.

  1. Purpose: The committee's purpose is to discuss staff issues in the Eberly College of Science and forward recommendations and solutions to the Dean, thus creating a direct avenue to address issues of importance to staff. This committee will deal with issues of general interest to the staff, not issues pertaining to individual staff members.

  2. All academic departments and the Dean's Office will be represented by two members each, with the exception of Astronomy and Astrophysics and Statistics. Those two departments will have one representative and an alternate. In addition, an ex-officio member from Eberly College of Science Human Resources will be appointed by the Dean. Members will be elected by the staff of each unit. All appointments are subject to department head's approval. The department head is authorized to fill any temporary vacancies on the committee and may be asked to appoint a second member when no one is nominated by the staff or the department.

  3. The Committee will meet at least monthly, or as often as necessary to address issues and concerns of staff of the Eberly College of Science. A representative from each unit must attend the meetings. Attendance will be taken. Lack of departmental representation at three consecutive meetings will be considered excessive absenteeism and will be addressed by the Committee, possibly resulting in replacement. Once each semester the committee will meet with the Administrative Assistants of the academic departments.

  4. All motions shall be passed by a simple majority. Absentee votes are not allowed.

  5. In December of each year, elections will be held in the units. Terms of office of Committee members shall be for two years, not to exceed two consecutive two-year terms, starting January 1, with half of the membership rotating off of the Committee each year. All present committee members as of this charter date will be in the first year of their two-year term. Time served for committee work should be considered as part of a committee member's job responsibilities and not as personal time.

  6. Every year in January, a chair-elect will be elected by the committee members. That person serves as vice chair for one year, then as chair in the following year.

  7. Participation in the committee is a privilege and should be treated as such. Persons unable to attend meetings should give advanced notice to the chair. If such advance notice is not given or if three consecutive meetings are missed, lack of participation will be assumed. This will result in that committee member being under review by the committee for possible replacement.

  8. Members of the committee will be responsible for evaluating, revising and implementing the Staff Recognition Program in the Eberly College of Science, including planning the fall Staff Awards Reception and reviewing nominations for the awards.
